Executive Assistant (12 month fixed term contract)

Chelsea Technologies is a market leading environmental sensor company working in a variety of industry sectors, including green shipping, marine science, water quality, defence and agritech.   We are looking for a highly efficient, confidential Executive Assistant to perform a variety of administrative tasks in support of the Managing Director and her team.

To be successful in this role, you should be highly organised and adaptable, able to juggle many tasks at the same time, personable and ready to dive headfirst into anything that needs doing.

Key responsibilities

  • Provide administrative support to the Managing Director including support to her team as directed.
  • Organise and maintain office processes and systems
  • Organise and schedule meetings/diary management
  • Minute taking and chasing actions
  • Craft routine correspondence
  • Engage with the wider team to progress, pursue and secure closure of actions in a timely manner.
  • Prepare documents (photocopying, collating, scanning, filing etc)
  • Enter data and process transactions onto ERP and CRM systems including raising purchase orders.
  • Answer calls and respond to emails
  • Deputise for the Office Manager in his absence including managing reception.
  • Provide administrative support as needed to the HR & Security Manager.

Qualifications

  • Educated to A level standard, ideally having studied a Business-related qualification
  • Excellent knowledge of Microsoft Office, including Excel, Word and PowerPoint with aptitude to learn new software and systems
  • Accurate typing

Experience

  • Previous administrative experience providing support to management essential
  • Ability to operate/follow business processes

Hours: 37.5 hours Monday – Friday. Reduced hours may be considered. This is an office-based role and as it is staff and customer facing is not suitable for hybrid working.

Security Clearance: Candidates must be suitable for security clearance via MoD UKSV. 5 years residency in the UK is essential to obtain clearance.
